Workflow Automation
Build automation flows that send emails, assign tags, and follow up contacts after form submissions.
Workflows automate actions based on triggers. For example: a visitor fills out a form β receives an instant welcome email β after 3 days a follow-up β after 5 days an appointment proposal.

Step 1: Navigate to Workflows
Click Workflows in the sidebar (under Marketing). You'll see your existing workflows or an empty list.
Step 2: Create a New Workflow
Click + New workflow. Choose a preset or start blank:
- Lead Nurturing β form β welcome β wait β follow-up β wait β appointment
- Welcome series β new contact β welcome email β add tag
- Blank workflow β start from scratch
Step 3: Set the Trigger
A trigger determines when the workflow starts:
- Form submitted β a specific form or all forms
- Contact created β any new contact
- Tag added β when a specific tag is assigned
- Manual β you start the workflow yourself
Step 4: Add Steps
After the trigger, add steps. Available steps:
- Send email β choose an email template
- Wait β wait X hours or days
- Add tag β add a tag to the contact
- Remove tag β remove a tag
- Update contact β modify a contact field
- Condition β if/then branching
π‘ Tip: Use wait steps between emails. Don't send all emails on the same day β that feels like spam.
Step 5: Activate the Workflow
Toggle the On/Off switch to "On" and click Save. The workflow is now active and will start automatically on the next trigger.
Step 6: Monitor Runs
Under the Runs tab, you can see all active and completed runs. Per run, you can see which steps were executed, which are pending, and whether any errors occurred.
β οΈ Note: Always test a workflow by filling out a form yourself with a test email address. Verify all emails arrive correctly.
